AI-Powered Site Documentation: An InspectMIND Case Study
Construction projects today face intense pressure to improve safety, comply with regulations, and boost productivity. Maintaining thorough site documentation is no longer optional; it is now mandatory for safety audits, client accountability, and regulatory compliance [1].
Yet traditional methods of recording daily logs and inspection reports are painfully inefficient. Site managers often spend over a quarter of their 10+ hour workdays just dealing with paperwork and reporting [2]. This administrative burden slows down projects and increases costs, as manual reporting is tedious, error-prone, and inefficient [3]. In response to these challenges, the industry is turning to smarter, AI-based inspection and reporting tools that can streamline documentation and free up professionals to focus on critical site work. Introducing InspectMIND AI!
Fig. 1) InspectMIND Demo Video
InspectMIND AI is an AI field inspection platform designed to automate and simplify construction site reporting. Using the app, an engineer or safety officer can snap photos and dictate voice notes, and the AI then transcribes and analyzes this input to automatically generate a polished report [4].
Key features of InspectMIND AI include:
-
AI-Generated Reports: The system uses AI to convert field data into detailed, structured reports in minutes, drastically cutting down manual work [3].
-
Industry-Specific Templates: InspectMIND offers pre-built report templates (e.g. Job Site Observation, Safety Inspection, Structural Evaluation) to fit common inspection types [4]. These templates structure the input and ensure compliance with standard reporting formats.
-
Instant Report Generation: With one click, the captured observations are compiled into a professional Word or PDF report and ready to share. What used to take hours of writing and formatting is delivered almost instantaneously [4].
InspectMIND AI-driven site documentation improves both the speed and the consistency of construction reporting. In short, it acts as an on-site “co-pilot,” handling the paperwork while professionals focus on actual construction work.
Project Context: Špansko Swimming Pool Complex
The field evaluation of InspectMIND AI took place at the Špansko Swimming Pool Complex project in Zagreb, Croatia, which proved an ideal testing ground given its scale and significance.
Fig. 2) Aerial view of the construction site
Špansko’s new pool complex is a high-profile construction site. It is a €34 million public recreational center featuring an Olympic-size swimming pool, a smaller rehab pool, spa/wellness facilities, a fitness center, and 300 spectator seats; it spans about 5,900 m² across one underground and two above-ground levels, making it the first public swimming facility on Zagreb’s west side – a key investment in the city’s sports infrastructure [5]. Construction began in July 2024 with an ambitious 18-month schedule, targeting opening in early 2026 [5].
A detailed video of the site visit is also available [8].
Despite the fast-track timeline and a site incident in early 2025 that underscored the importance of safety oversight [6], the project has been progressing slightly ahead of schedule due to efficient management [7]. The active construction site offered varied conditions, from excavation and concrete works to mechanical installations, mirroring common challenges where efficient documentation is needed. With many stakeholders awaiting updates (city officials, engineers, the public), maintaining comprehensive daily logs and safety reports is critical.
Experimentation: On-Site Test and Workflow
Kristijan Vilibić (Mastery of Digital) visited the site as an observer and tester, using InspectMIND AI’s Job Site Observation template to document the project’s status and any issues in real time. Armed with a smartphone and the InspectMIND app, he walked through the Špansko complex’s construction areas just as a site engineer would, capturing dozens of observations over the course of a site tour.
Fig. 3) Site visit with InspectMIND
Kristijan integrated InspectMIND AI into the usual routine of a site engineer. He launched the app, started a new digital inspection session, selected the Job Site Observation template, and proceeded with the walkthrough as normal, except that all observations were now captured via voice notes and photos in real time.
The inspection began by configuring the project details within the InspectMIND interface. He entered key project metadata and specified his role as the inspector. Next, he defined two observation categories tailored to the day’s activities: Concrete Works and Personal Protective Equipment (PPE) Compliance. The app’s intuitive structure made it easy to organize field notes and visuals by category, setting the stage for a systematic evaluation.

Concrete Works Observations
The first set of observations captured a full concrete pouring cycle, from delivery to final placement. This process was documented in real time with step-by-step visual and audio records directly in the app.
-
Concrete Delivery & Transfer: A cement mixer truck discharged fresh concrete into a large orange crane-lifted bucket.
-
Crane-Assisted Transportation: The site’s tower crane hoisted the filled bucket and transported it across the construction zone.
-
Concrete Placement: Workers guided the bucket and controlled its discharge into a heavily reinforced structural section.
Each observation included commentary and a corresponding photo uploaded into the app, which helped create a transparent, traceable inspection log.

PPE Compliance Observations
He also performed safety monitoring in parallel, using InspectMIND to create a dedicated PPE Compliance section for focused entries.
-
Formwork Crew Compliance: Workers adjusting the wall formwork were wearing hard hats and high-visibility vests while working on Skydeck PERI platforms.
-
Fall Protection Compliance: Another group of workers on high scaffolding for slab formwork wore visible safety harnesses in addition to standard PPE.

AI-Powered Report Generation
Once all entries were finalized with photos and descriptions, he tested InspectMIND’s “AI Draft” feature. This tool generated structured text summaries for each observation category within the Site Description, Scope of Evaluation, and Conclusion sections. The AI-assisted output saved considerable time while maintaining a professional tone and structure.
Fig. 7) AI generated sections
In the final step, he generated a complete Word report (.docx) directly from the app. The output included all logged observations, photographs, and AI-generated summaries in a clean, shareable format, ready for archiving or client delivery.
Fig. 8) Generated report
This on-site workflow took only about an hour, and by the time Kristijan left the site, a polished draft report was ready on his device. The visual documentation (photos of site conditions and work progress) is an integral part of the report and, indeed, of this case study itself, demonstrating how seamlessly the app integrates imagery into construction documentation.
Findings & Conclusion: Strategic Value for the AEC Industry
This case study demonstrated that AI-powered site documentation can drastically improve the efficiency and consistency of construction reporting. Using InspectMIND AI at Špansko, Kristijan was able to compile a detailed daily report on-site in minutes with an app that required virtually no learning curve, whereas manually this documentation might have taken him several hours back at the office. This aligns with broader industry experience: field professionals have reported roughly an 80% reduction in report-writing time on average when using such tools [3]. The automatically formatted reports also eliminated human error and ensured a professional, consistent layout for notes and photos. Beyond these immediate gains, the successful use of InspectMIND on a high-profile project with tight deadlines and strict safety requirements highlights the strategic value of AI in construction management. The tool saved time, improved communication among the team and stakeholders, and helped maintain rigorous safety compliance on site.
Scaling such solutions across the industry could lead to safer job sites, faster project delivery, and stronger compliance with growing regulatory requirements, and regulators are increasingly encouraging the adoption of digital tools to enhance project monitoring [9]. By modernizing the reporting process, platforms like InspectMIND AI ensure that no critical information falls through the cracks and that all stakeholders stay informed in real time. Ultimately, AI-driven solutions address the long-standing “paperwork problem” in construction and are quickly shifting from a novel convenience to an operational necessity as firms strive for smarter and more efficient project delivery [3].
