AEC project information management doesn't fail because teams don't care, it fails because requirements and decisions fragment across emails, meeting minutes, PDFs, chat and spreadsheets. Teams spend days reconstructing what was agreed, and drift quietly becomes rework, risk and programme pressure. Research suggests 52% of rework stems from poor communication and data management. vBrief is a connected project record that keeps professionals in control. It turns project correspondence into a structured, source-linked record, then keeps a Live Brief and live schedules aligned to what the team has actually reviewed and approved.
The platform connects to Microsoft Outlook or accepts direct uploads of PDFs, minutes, chat logs and other documents. vBrief's AI reads the content and surfaces relevant requirements, risks and actions, pre-highlighted, with evidence attached, and ready for review. Users confirm, override or dismiss each item. Nothing enters the project record without human approval, and every action is attributed, version-controlled and fully traceable.
From those verified decisions, vBrief keeps a number of critical outputs continuously in sync: Live Brief, tasks and schedules, risk register, change logs, action history and ongoing studies. These stay consistent because they are generated from the same verified record, not separately maintained spreadsheets. Reports can be exported on demand as PDF or Excel and used however teams need.
vBrief is built around three requirements that have to be solved together: process information on arrival, track provenance not just text, and keep project data aligned over time. Most systems handle one or two; the third is where drift returns.
A key differentiator is vBrief's human-in-the-loop architecture. Unlike autonomous AI agents, vBrief uses AI to accelerate discovery and organisation but avoids the "black box" failure mode. No decision is taken without user confirmation, decisions are attributable and version-controlled, and the structure reduces omission risk through granular review steps. This is designed with professional indemnity insurance in mind: every decision carries metadata recording who approved it and when, creating a tamper-proof audit trail: a defensible PI trail and continuous Golden Thread.
Security is foundational. Data is hosted on private EU-based Microsoft Azure servers with AES-256 encryption at rest, TLS 1.3 preferred (TLS 1.2 minimum) in transit, row-level security, OIDC SSO with MFA support, and project-level access controls. No customer data is used for AI model training without explicit permission. AI runs in private environments, so teams can trial vBrief without turning client data into training data.
Day-to-day, teams spend less time cataloguing requirements, updating trackers and reconciling contradictions.
